Position overview

The Jack Miller Center seeks a highly organized and mission-driven Project Coordinator to support the Vice President and Chief of Staff in board and staff communications, executive event planning, operational and fundraising initiatives, and other key organizational functions.

This position provides a unique opportunity to gain exposure to senior leadership and the inner workings of a growing national organization dedicated to advancing the teaching and study of America’s founding principles and history.

The Project Coordinator will help ensure we’re efficient and effective in our projects, communications, and that board functions move forward efficiently across the organization.

Work Location: The Jack Miller Center headquarters are located in Bala Cynwyd, PA, a suburb of Philadelphia.

Reports to: Vice President and Chief of Staff

Key Responsibilities

Executive and Organizational Support

  1. Assist in tracking priorities, deadlines, and progress across organizational initiatives.
  2. Coordinate internal and external meetings as needed.
  3. Prepare summaries and updates for leadership and ensure follow-ups are completed. 
  4. Organize and maintain key documents, briefing materials, and internal resources.

Writing and Communications

  1. Draft board newsletters and memos on organizational, program, and fundraising activity.
  2. Draft staff memos and updates to both keep staff informed and celebrate wins.
  3. Conduct light research for background information and assist in writing projects such as letters, proposals, reports, and articles.

Board Relations

  1. Assist in assembling board meeting materials and board books.
  2. Assist in scheduling and logistics for board and committee meetings.
  3. Track requests and follow-up items from board members.

Executive Events and Meetings

  1. Assist in planning board meetings, staff retreats, and organizational gatherings.
  2. Support logistics, scheduling, and follow-up for key events.
  3. Coordinate with the Meetings and Events team as needed.

Operations Coordination

  1. Work with the Director of Operations on select operational initiatives.
  2. Help maintain organizational systems and processes that support team collaboration.
  3. Track workflow across projects to ensure effective coordination.

Qualifications

  1. Strong organizational and project-management skills.
  2. Excellent writing and communication ability.
  3. Ability to manage multiple priorities and maintain attention to detail.
  4. Professional judgment and discretion.
  5. Strong interest in the mission of the Jack Miller Center and the study of America’s founding principles.

Preferred Qualifications

  1. 1–3 years professional experience (internships acceptable for strong candidates).
  2. Grantwriting, copywriting, or marketing experience.
  3. Skill with Microsoft suite, Salesforce, InDesign, or other technological ability.
  4. Experience working in educational nonprofit, academic, or policy organizations.
